1. Scope and responsibility
OKIPA Charitable Foundation is responsible for the personal information it collects through its website, donation-related interactions, inquiries, and optional text messaging program. This policy explains what we collect, why we use it, when we disclose it, and how to contact us about your information.
This policy does not govern independent third-party websites or services, including information submitted directly to Stripe under its own policies. It is not consent to receive texts or other marketing communications.
2. Information we collect
- Information you provide: your name, email address, phone number, mailing or billing address, organization, and the content of inquiries or forms, to the extent you provide them.
- Donation and event information: donation amount, date, status, transaction identifiers, receipt details, and any information you provide for an event or sponsorship.
- Text messaging information: your mobile number, opt-in and opt-out choices, consent records, message content, and delivery or response records used to administer the program.
- Technical information: IP address, browser and device information, requested pages, and access or error logs generated when the website is delivered and secured.
Stripe handles payment credentials submitted through its payment services. The Foundation receives the transaction information needed to administer donations; please do not send card numbers, bank credentials, Social Security numbers, or medical records through general website forms, email, or texts.
We collect information directly from you and receive relevant transaction or delivery information from the providers that process donations and deliver communications for us. We do not purchase donor lists.
3. How we use information
- Process and reconcile donations, maintain financial records, and provide confirmations or receipts.
- Respond to inquiries and administer requested event or sponsorship activities.
- Send transactional texts and reminders only when you opt in, and administer consent, support, and opt-outs.
- Operate, troubleshoot, and secure the website; prevent fraud or misuse.
- Meet legal, accounting, reporting, and recordkeeping obligations, and resolve disputes.
We use information for the purposes described here or otherwise disclosed when it is collected. We do not use consent to transactional texts as authorization for marketing or fundraising texts.
5. Mobile information and SMS consent
Notwithstanding any other disclosure provision in this policy, mobile phone information, SMS opt-in data, and messaging consent will not be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. All other sharing categories exclude text-messaging originator opt-in data and consent; this information will not be shared with third parties except service providers necessary to operate and deliver the messaging program, or where disclosure is required by law.
Messaging providers may receive the mobile number, message content, and delivery or consent information needed to deliver authorized messages, process opt-outs, and provide support. They may not use this information for independent marketing on our behalf. We do not provide SMS consent to other organizations so they can message you.
Reply STOP to unsubscribe or HELP for help, or email Brittany@okipacf.org. Message and data rates may apply; frequency varies. Read the SMS Terms for program details. We retain necessary suppression and consent records so that your preferences can be honored and compliance can be demonstrated.
6. Stripe payment processing
Donations are collected using Stripe. Stripe processes payment information and may use transaction and device information to authenticate payments, prevent fraud, and satisfy its own legal obligations. Its handling of information is described in the Stripe Privacy Policy.
The Foundation uses payment-related information it receives for donation administration, recordkeeping, support, and legal compliance. Information disclosed directly to a payment provider is governed by that provider’s applicable terms and policy.
8. Retention and security
We retain personal information only as reasonably needed for the purposes described in this policy, including donation administration, applicable accounting and tax requirements, dispute resolution, and demonstrating or honoring messaging consent. Retention depends on the record type, legal requirements, and operational need; an opt-out may require keeping a minimal suppression record rather than deleting every reference to a phone number.
We use reasonable administrative, technical, and organizational safeguards appropriate to the information and risks. No website, payment system, email, or text message is completely secure, and we cannot guarantee absolute security. Do not send sensitive personal or medical information through general communication channels. Where required by law, we will provide notice of a qualifying security incident.
9. Your choices and privacy requests
You may contact us to request access to or correction of information we hold about you, ask about its use, or request deletion. Depending on applicable law and our activities, you may also have rights to obtain a copy, restrict certain processing, withdraw consent, or appeal a decision on a privacy request. We will assess and respond to requests in accordance with the laws that apply; this policy does not assert that every jurisdiction’s privacy statute applies to the Foundation.
Email Brittany@okipacf.org or write to the address below. Describe your request and provide enough information to identify the relevant records, but do not send sensitive identity documents unless we request them through an appropriate method. We may reasonably verify your identity or an authorized agent’s authority before disclosing or changing records.
Some information may need to be retained for legal obligations, completed donation records, security, or honoring opt-outs. We will explain applicable limitations. To appeal a request decision where an appeal right applies, contact the same email with “Privacy appeal” and identify the request. We do not discriminate against you for exercising applicable privacy rights.
Withdrawing SMS consent stops future program messages; it does not reverse a completed donation or erase legally required transaction records. You may continue to interact with the Foundation without opting in to texts.
10. Children and sensitive information
The website and texting program are not directed to children under 13, and we do not knowingly collect personal information online from children under 13. If you believe a child has provided information without appropriate authorization, contact us so we can investigate and delete it where required. Parents or guardians should oversee minors’ participation. The general website is not a medical intake system and should not be used to submit health records.
11. Location of processing and external links
The Foundation is located in Oklahoma City, Oklahoma, United States. Our website and providers may process information in the United States or other locations where they operate, subject to applicable legal requirements. Those locations may have different privacy laws. Links to third-party websites do not make the Foundation responsible for their independent privacy practices; review their policies before using them.
12. Policy updates
We may revise this policy to reflect changes in our practices or legal requirements. We will post the updated date and provide additional notice or obtain consent when required. A policy update does not, by itself, authorize new uses requiring consent, expand SMS consent, or waive your rights.
